Refund & Cancellation Policy

Kokrajhar Law College is committed to maintaining a fair, transparent, and efficient refund and cancellation process. This Refund & Cancellation Policy outlines the conditions under which refunds and cancellations may be requested for admissions, fee payments, and other services offered by the College. By making any payment to the College, you agree to the terms of this policy.

1. General Policy

1.1 All payments made to Kokrajhar Law College are subject to this Refund & Cancellation Policy.

1.2 Refunds shall be processed only in accordance with the rules and regulations of the College, Bodoland University, the University Grants Commission (UGC), the Bar Council of India (BCI), and any applicable Government notifications.

1.3 The College reserves the right to verify all refund requests before processing.

2. Admission Cancellation

Applicants who wish to cancel their admission must submit a written cancellation request to the College Office along with any required supporting documents. Admission shall be considered cancelled only after approval by the competent authority.

3. Refund of Admission Fees

Refunds of admission or tuition fees, where applicable, shall be governed by the prevailing UGC, University, and Government guidelines in force at the time of cancellation. Where a refund is approved:

• Any applicable processing or administrative charges may be deducted, if permitted under the relevant regulations.
• Amounts already paid to statutory authorities or third parties on behalf of the student may not be refundable.
• Refunds will only be made to the original payer through the original mode of payment or another approved method.

4. Non-Refundable Fees

Unless otherwise required by law or applicable regulations, the following charges are generally non-refundable once the related service has been provided or incurred:

• Application Processing Fee
• Prospectus Fee
• Registration Fee
• Identity Card Charges
• Examination Fees (after registration)
• Library Penalties or Fines
• Duplicate Certificate or Document Fees
• Fees for Workshops, Seminars, Conferences, or Training Programmes already attended
• Charges for replacement of lost or damaged College property

5. Online Payment Errors

If a payment is debited more than once, deducted without successful transaction confirmation, or incorrectly processed due to a technical error, the payer should immediately notify the College with proof of payment. Verified excess or failed transactions will be refunded after reconciliation with the payment gateway and the bank.

6. Cancellation of Events or Programmes

If the College cancels a workshop, seminar, training programme, or any paid event:

• Participants may be eligible for a full or partial refund, depending on the circumstances.
• Alternatively, the College may offer rescheduling or adjustment against a future programme.

7. Processing Time

Approved refunds are generally processed within 15 to 30 working days, subject to:

• Verification of the request,
• Completion of required documentation,
• Clearance from the Accounts Section, and
• Processing timelines of the concerned bank or payment gateway.

Processing times may vary depending on banking procedures.

8. Mode of Refund

Refunds, where approved, shall normally be made through:

• Bank Transfer
• Online Payment Gateway Reversal
• Original Payment Method
• Any other mode approved by the College

Cash refunds are generally not issued.

9. Rejection of Refund Requests

The College reserves the right to reject refund requests where:

• False or misleading information has been provided.
• Required documents are not submitted.
• The request does not comply with applicable regulations.
• The payment relates to a non-refundable service.
• The student has outstanding dues payable to the College.

10. Exceptional Circumstances

The College may consider refund requests arising from exceptional circumstances, including regulatory directions or other situations deemed appropriate by the competent authority. Such requests will be evaluated on a case-by-case basis.

11. Policy Amendments

Kokrajhar Law College reserves the right to amend, modify, or update this Refund & Cancellation Policy at any time to comply with applicable laws, University regulations, or institutional requirements. The latest version will be published on the official College website.
